12 group trip planning questions to ask before booking

Ask a few clear questions before anyone falls in love with a booking. This questionnaire helps friends discuss the trip they want and the limits that shape it.

Use the questionnaire with your group

Send the questions before comparing bookings. Explain the rough trip idea and when you need a reply. Let each person answer for themselves; the person replying fastest should not set every preference.

Use the PDF as a worksheet, or paste the text version into a shared document or message. It is a standalone planning resource; the download does not create a survey or save answers in Awaii.

The 12 questions

  1. Are you in, interested or still checking?

    Give people a way to say maybe and a date to come back with an answer.

  2. Which dates work, might work or cannot work?

    Ask about travel days too. Collect the answers in one calendar or a clearly named document.

  3. How many nights feels right?

    Record a minimum, a comfortable length and a maximum if people are flexible.

  4. What total would feel comfortable per person?

    Say whether that includes getting there, accommodation, food and activities. Let people discuss limits privately.

  5. Which places would you genuinely consider?

    Ask for acceptable options as well as a first choice. Someone’s second choice can be the group’s best compromise.

  6. What would make this a good trip for you?

    Ask for one priority: slow mornings, hiking, food, a beach or time with friends.

  7. How busy should each day be?

    A full schedule and one main activity a day are different trips. Leave room for people to opt out.

  8. What do you need from the stay?

    Discuss room sharing, quiet, stairs, cooking facilities and other practical requirements. Private details can go directly to the organizer.

  9. Will you join for the whole trip?

    Different arrivals change room costs, transport and who is included in each expense.

  10. Which activities should be optional?

    Decide whether an expensive meal or activity is something everyone wants before booking it for the group.

  11. Who can take responsibility for one task?

    Choose a specific job: compare stays, check transport or collect arrival times.

  12. When will we decide, and who will book?

    Set a response deadline and confirm the group’s agreement before anyone makes a payment.

Turn the answers into a short trip brief

Summarize confirmed answers and unresolved conditions separately. Here is a fictional example of a useful summary:

Four friends are interested in two nights away. Three can do 9–11 October; one is checking Saturday. Everyone would consider a city with a day outdoors. The shared plan should fit a €400-per-person allowance including travel. Sam will compare two stays after the last date answer arrives.

The next task is specific: resolve the Saturday maybe. There is no need to book a stay or build a detailed itinerary yet.

Keep only the budget information the group needs to choose realistic options. Do not publish personal reasons or private constraints without agreement.

When the answers do not match

Separate a requirement from a preference. An accessible entrance may be essential; a rooftop pool may be optional. Ask whether a smaller or different trip would work before asking someone to stretch a firm limit.

For conflicting dates, compare a shorter stay or a different month. For different spending limits, start with a shared core everyone can afford and make extra activities optional. Confirm the expense rule before anyone pays.

No. People can share a comfortable planning range or speak privately to the organizer. The group needs enough information to compare realistic options, not personal financial details.
